Setting up an Information Service


Only a NEN System User with the assigned role "Participant of a procurement procedure" can create an information service.

You can search/ add the "Set up Information Service" tile using the search bar "What would you like to do?" or the "plus" icon. After clicking on this tile, a form will appear where you can set specific criteria for information delivery.

The information service can also be set on the main screen. In the left part of the screen, select "Information Service", and at the bottom, click on the "Show all" button or click on the "double arrow" icon to display the entire list at the top of the block. On the displayed form, you will find the "Set up an information service" button at the top.

  1. Click on the "Set up Information Service" tile.

  2. In the top grey toolbar, click on "Create a new service".

  1. Fill in the "Designation" field (e.g., if I am interested in office supplies, I will write the designation "office supplies").

  2. Then it is necessary to set up individual monitored events and notifications. By setting the checkboxes to a "tick", you can choose whether you want to be informed about "Publication of the commencement" and "Publication of results".

  3. Select how you want to receive notifications:

  • "Display in the Information Service list" (shows search results on the main screen in the "Procurement Procedures" tab - the "Information Service" folder or the "Information Service" tile),

  • "Send a message to the mailbox in the NEN system" (from this form, you can directly set forwarding to your email or another person's email).

Informative emails (sample below) do not guarantee delivery time, but they are always sent starting at 11:00 p.m.

  1. Specifications of the "Criteria according to which I want to filter" section - here, you can set specific criteria for receiving information. In the NEN system, you can choose from the following criteria:

  • type of a public contract,

  • estimated value,

  • CPV/NIPEZ,

  • expected place of performance,

  • contracting authority,

  • text in the procurement procedure name or the subject-matter description.

  1. Based on the criteria selection according to point 5, the NEN system will subsequently display sections where you will specify your criteria.

Example: According to the settings above, the NEN system will notify only public contracts the type of which is supplies, and at the same time, it will involve the CPV code 03222110-7 | Tropical fruit or CPV code 03222200-5 | Citrus fruit, and at the same time, the place of performance will be in the Olomouc region.

Within the information service, the conditions shown in the image below apply.

If you specify criteria in detail in the information service (e.g., combine the place of performance and text in the name), it may happen that no procurement procedure will correspond to the set criteria.

Therefore, we recommend creating multiple information services. For example, one information service based on CPV codes and another, for instance, based on the text in the name.
